Your login email is one thing. Where invoices land — and the legal address that appears on those invoices for tax compliance — is another. ReservWise treats them as separate fields so your accountant gets receipts without sharing your login.

Where this lives: Settings → Billing → Billing details. Two fields: Billing email (where every invoice and receipt is sent) and Billing address (what prints on each invoice). Both default to your account email and signup address until you change them.

Changing the billing email

  1. Open Settings → Billing → Billing details.
  2. Edit the Billing email field. This can be your accountant, a shared inbox like accounting@yourcompany.com, or any other address.
  3. Click Save. The next invoice goes there.

You can re-send any past invoice to the new billing email from the invoice list — see Downloading past invoices. Failed-charge alerts and renewal warnings still go to the account email (the one you log in with), not the billing email — those are operational, not financial, and the account owner needs them.

Updating the billing address

The billing address prints on every invoice and is what your tax preparer or jurisdiction may require for compliance. To change it:

  1. In the same Billing details screen, edit the address fields — line 1, line 2, city, region, postal code, country.
  2. If you're a registered business, add the legal entity name in Company name so it prints above the address on the invoice.
  3. Add a tax/VAT/GST ID if your jurisdiction needs it on invoices. Field is optional and validated against the country selected.
  4. Click Save.

Address changes apply forward only — past invoices are not regenerated. If you need a corrected past invoice for accounting, email support@reservwise.com with the invoice number and the corrected details and we'll re-issue it.

Multiple billing recipients

The billing email field accepts a single address. To copy a second person — say, you want both yourself and your bookkeeper to receive every invoice — set up an email forwarding rule from your billing email, or use a shared inbox that already fans out.

Workspace seats and billing access are separate. Adding a teammate to your workspace doesn't give them billing visibility; only the workspace owner sees billing. If you want a teammate to administer billing, transfer ownership to them under Settings → Workspace → Transfer ownership.

Account email vs. billing email — quick reference

  • Account email (Settings → Account): your login. Receives operational alerts (failed charges, password resets, security notices, product updates). Cannot be set to a shared inbox.
  • Billing email (Settings → Billing): receives invoices, receipts, and tax-document confirmations. Can be a shared inbox like accounting@ or finance@.

Changing one does not change the other. Update both if you're moving the whole account to a new email.

Tax documents and W-9s

Higher-tier plans paid annually may want a W-9 from us for their accounting. Email support@reservwise.com and we'll send the current signed copy. We can also issue a year-end summary (totals only, suitable for handing to your CPA) if your billing volume warrants it.
