Plans change. A slow quarter pushes you down a tier; a sudden hire-spike pushes you up. ReservWise is built so the switch happens cleanly — no double-charges, no waiting until next month, no losing features in a way that costs you a forecast.
Upgrading mid-cycle
Upgrades take effect immediately. The moment you confirm, the higher tier's features are unlocked — no logout, no reload, no waiting for renewal.
Billing handles the math through proration:
- We calculate the unused portion of your current tier as a credit (per-day basis, rounded to the nearest day).
- We calculate the cost of the new tier from today through your renewal date.
- We charge the difference now. Your renewal date does not move.
Example: you're 12 days into a 30-day cycle on the lower tier. You upgrade. We credit you 18 days of the old plan and charge 18 days of the new plan as one combined invoice. Your next renewal is still on the original date.
Downgrading mid-cycle
Downgrades take effect at the end of your current cycle. You keep the higher tier's features through the day you already paid for, then drop down on the renewal date.
This is intentional. If you've been using a feature that's not in the lower tier — Deep Dives, the AI chat widget, MCP read+write, extra workspaces — you don't lose it the moment you click downgrade. You finish out the cycle on what you paid for.
No proration credit on a downgrade. The cycle you paid for is honoured in full.
Switching between monthly and annual
The same proration logic applies, scaled to the cycle length. Switching monthly → annual mid-month credits the unused monthly portion against the new annual charge. Switching annual → monthly takes effect at the end of the annual cycle (not immediately) since you're already paid through the year.

Feature access during the switch
- Upgrade: new features available within seconds. Existing data, reserves, allocation rules, and connections are untouched.
- Downgrade (effective at renewal): features stay live until the renewal date. After renewal, gated features go read-only — the data still exists, but interactions that require the higher tier are disabled until you re-upgrade.
- Workspace seats: downgrading to a tier with fewer seats does not remove team members. The extra seats become read-only at renewal. Bring them back live by upgrading again or removing seats from the workspace.
What you'll see on your invoice
An upgrade with proration generates a single invoice on the change date with two line items: the credit for unused old-tier days (negative) and the charge for new-tier days through renewal (positive). The net is what we charge.
A downgrade generates no immediate invoice. The next renewal invoice will reflect the lower tier as a normal full-cycle charge.

Refunds on mid-annual switches
If you're on an annual plan and want to switch to monthly with a refund of the unused months, that's not a self-serve action — email support@reservwise.com and we'll prorate it manually. We do not charge a fee for this; we'd rather you stay on a plan that fits than feel locked in.
